A thousand conversations handled can look impressive on a dashboard.
I would still ask a simple question: what became easier for the customer, and what happened next?
For lead follow up, I want reporting that connects execution to qualified appointments, attendance and eventual sales. Activity helps diagnose the process. It cannot establish the commercial result on its own.
Measure activity without mistaking it for value
Calls attempted, messages delivered and conversations completed tell you whether a system is operating. Keep those numbers. They help identify delivery failures and workloads.
But a reply is not a qualification. A calendar event is not attendance. And attendance is not a sale. Combining those stages into one success metric makes the report easier to read and harder to use.
My preference is to keep the stages separate and agree on what qualifies a lead before measuring the outcome.
A conversation is an intermediate outcome. Show what follows it.
Follow a cohort through the whole funnel
Start with leads received and identify which are eligible for the agreed process. Then track attempted contact, meaningful responses, qualified appointments, attendance and sales.
Keep the original source and arrival period attached to each lead. A cohort that arrived yesterday has had less opportunity to progress than one that arrived a month ago.
Also show the missing data. An appointment without a recorded attendance outcome is unknown, rather than automatically a success or a failure.
Ask what a useful appointment actually costs
A price per lead tells you what the service charges. It does not tell you the cost of a qualified appointment that someone actually attends.
For that, include acquisition spend, follow up charges, channel usage and relevant internal execution costs. Divide the agreed total by qualified appointments attended in a comparable cohort.
This is a measurement framework, not a Conversion24 result or a promise of improvement. If the denominator is zero, report the spend and the absence of attended appointments rather than inventing a unit cost.
Make the next decision visible
The purpose of the dashboard is to make a decision possible. Is contact coverage incomplete? Are people replying without booking? Are booked appointments failing to attend?
Each finding suggests a different action. Buying more leads, changing qualification and improving appointment confirmation are separate decisions.
Conversion24 should return the agreed outcomes to the existing CRM. The company keeps ownership of the definitions, the sales process and the final commercial assessment.
Before asking AI to handle more conversations, make sure you can see what the existing conversations produce.
